Role Description The Receptionist reports directly to the Office Manager and handles all Front of House duties. Responsibilities include, but are not limited to, welcoming visitors, assisting Talent with recording sessions and AORs, keeping the office in order with everything running smoothly, handling employee requests, facilitating shipments, and helping department heads and executives.

Reception Duties

  • ● Ensure front desk is staffed during business hours.
  • ● Handle basic tasks such as answering the phone, checking and distributing mail.
  • ● Welcome visitors and distribute parking validation.
  • ● Serve beverages to talent/clients/executives as needed.
  • ● Monitor office and kitchen areas, ensuring they’re clean and well-organized.
  • ● Restock kitchen and COVID supplies as needed.
  • ● Manage key card distribution and inventory.
  • ● Process maintenance requests for the office.
  • ● Execute monthly inventory audits and manage kitchen/office supplies.
  • ● Procure items for other departments as requested (primarily IT and Studio).
  • ● Liaise with building management regarding building regulations, e.g., fire drills, training, other policies.
  • ● Stay up to date on building regulations and COVID-19 guidelines and protocols.
  • ● Maintain relationships with office vendors as their primary PoC.
  • ● Handle all shipping and receiving from Burbank. o This includes scheduling courier services.
  • ● Process AORs for Talent.
  • ● Assist with employee engagement activities and on-site events.
  • ● Update the US Employee Roster and other trackers as needed.
  • ● Help with file management on SharePoint.
  • ● Provide full support to the Office Manager.
