HR & Finance Admin

The position of Office Assistant will be responsible for the performance of a variety of duties categorized by Financial, Administrative, and Human Resources support. This position will carry out the role of an accounting staff to work with outsourcing firms to make sure all transactions and documents are recorded properly, manage bank accounts and cash, proceed with approved payments, and report the status of finance data. You will have the guidance and instruction from the Regional Finance team. The role also includes administration tasks to keep the office running smoothly, which includes but is not limited to equipment management, purchasing, document management, receptionist, and event organizing support. Finally, the Office Assistant Executive will support the Regional HR Manager in document filing, liaising with outsourcing firms for information updates regarding social insurance, keeping track of attendance, the status of policy implementation, engagement programs, and supporting organization of company events, etc.

Accounting

  • Handle the payment of office expenses (taxi, express, office phone, photocopy, house rental, office rental, office properties…)
  • To compile, copy, sort out and file records of office expenses, business transactions, with supporting documentation (contracts, invoices, and receipts, etc.).
  • Collaborate with the accounting firm for the office’s expense records, and make sure transactions and documents comply with accounting, legal, and tax regulation.
  • Manage bank accounts and cash usage.
  • Prepare weekly and monthly management reports.

Admin

  • Equipment management.
  • Update and manage inventory.
  • Check and maintain the equipment in good condition. Request to repair or replace to Management if needed.
  • Document: composing/preparing administrative documents, getting approval from the Management, and filing documents in the office.
  • Receptionist: receive calls, send/receive posts, greet and assist visitors, book meeting room, and follow up on the schedule.
  • Purchasing: Research, propose options to management, and proceed to purchase with vendors.
  • Perform other tasks if required.

HR

  • Organize and manage documents such as employee contracts, decisions, and appendices, for the Human Resources department database. The Admin Executive will scan the documents, submit the soft copy to Regional HR and file the hard copy.
  • Support document format check and translation from English to Vietnamese.
  • Liaise with company vendors for documents and information updates regarding social insurance.
  • Keep track of employee attendance, the status of policy implementation
  • Support Regional HR in organizing engagement programs and company events such as company dinner, farewell, team building, and annual health check by buying gifts, reserving the location, coordinating the transportation, etc.

Requirements

  • University degree
  • At least 2-year experience in an administration role and HR
  • Comprehensive communication in English
  • Strong work ethics
  • Reliable, accurate, patient, neat and tidy, self-learning attitude.
  • Have the mindset of self-learning and improving.
  • Experience in Media, Localization, or fast-growing industry is a plus.
